Repetitive manual work rarely shows up as a line in the budget, but it costs real time every day. This calculator turns one repetitive process into numbers you can act on: the hours it uses each year, what that time costs, and how quickly automating it would pay for itself.
It takes about a minute. Pick a common process or describe your own, enter how long it takes and how often it runs, and the results update as you type. No email address is needed.
How the calculator works
You describe one repetitive process and the calculator does the arithmetic:
- Time per run and how often it happens give the number of hours the process takes every year.
- The number of people and their hourly cost turn those hours into money. Use a loaded cost, which is salary plus overhead, not just pay.
- The share a bot can handle shows how much of that time automation could return. For rules-based work this is usually 80–95%.
- The build cost and the monthly managed cost are taken off to show what you actually save, how fast the build pays for itself, and the return over three years.
What the results mean
- Net saved per year: the labour you stop spending on the task, minus the yearly cost of running the automation.
- Hours returned: the working time your team gets back each month and each year, to spend on work that needs people.
- Payback time: how many months of savings it takes to cover the one-time build cost.
- 3-year ROI: your total net savings over three years, less the build cost, as a percentage of that cost.
Which tasks are worth automating
The best candidates follow clear rules, repeat often and work with digital information. The calculator includes starting points for common ones:
- Invoice data entry
- Reconciliations
- Report generation
- Moving data between systems
- Extracting data from documents and PDFs
- Onboarding paperwork
Tasks that need constant judgement, or where almost every case is an exception, are weaker candidates, although parts of them can often still be automated.
Tips for a realistic estimate
- Time the task as it really happens, including checking and corrections, not the best case.
- Count everyone who does it, across teams and shifts.
- Be cautious with the share a bot can handle if the process has many exceptions.
- Start with one process at a time. Small, clear wins are easier to prove.
Frequently asked questions
Do I need to give an email address?
No. The calculator works without any sign-up, and you can try as many processes as you like.
How accurate are the results?
They are estimates. Actual results depend on how complex the process is and how many exceptions it has. Use the calculator to decide whether a process deserves a closer look.
What should I enter as the build cost?
The one-time cost of building the automation. If you do not have a quote yet, enter your best estimate and adjust it later. The monthly managed cost, for running and maintaining the automation, is optional.
What happens after I get my number?
If the numbers look promising, Omega Softlogix offers a free 30-minute Automation Audit, where we look at the process with you. You can also read about our digital transformation and automation services.
